About the role:
We are seeking a dynamic individual to join our administrative team. The role is to provide high quality and professional administration support across multiple departments. To be successful, you will have excellent attention to detail and able to think logically and follow processes. To work effectively and efficiently in a calm and very organised manner and be able to prioritise your workload appropriately to meet deadlines. Must be confident with a range of IT Software.
A background in the construction industry would be beneficial but not essential as a full induction and specific training will be given.
Tasks will include but not limited to;
To assist Contract Managers with all project-related administration. Working with the in-house design team to assist bringing projects from pre-construction to construction stage. To assist the estimators in preparing and collating information for tenders. Pre-project procurement which involves obtaining quotes from suppliers, comparing pricing, and placing purchase orders for all projects. General weekly ordering of all materials required for the projects. Preparing orders to specialist sub-contractors and creating material call offs. Site set up’s (Welfare facilities, Machinery and Plant). Material Returns and chasing credit notes. Creating Site files, H&S files, Risk assessments and Method statements. Producing and continuously updating Operation & Maintenance manuals ensuring certificates are registered with appropriate authority. Screening phone calls, enquiries & requests and handling them in an appropriate manner. Monitor the sales and administration inboxes and forward emails to the correct department in a timely manner. General administration duties including typing, photocopying, folding of drawings, filing, archiving etc. General office duties including housekeeping, reception, setting up the boardroom for meetings etc.
Requirements:
At least 3 years’ experience in an administrative role. Excellent transferable skills which must include a high level of numeracy, accuracy & communication. Strong IT skills, including Word and Excel.
